To operate ProjectMed we collect the following personal information from account holders:
- Full name
- University or professional email address (used for verification)
- Medical school, medicine programme and year of study (students)
- Institution, job title and specialty (professionals)
- Eligibility declarations, and the date, time and version of the declaration accepted
- Verification status, verification timestamps and any administrator notes
- Evidence voluntarily submitted for manual verification, where applicable
- Profile information you choose to share, including research interests, previous research experience and skills
- CV uploads (optional)
- Availability status and desired project types
- Applications submitted, invitations received and completed collaborations
2. Why we collect this information
We collect personal information solely to facilitate medical research collaboration opportunities and collaborations between UK medical students and UK-based clinicians, academics and researchers. Specifically we use it to:
- Establish account eligibility for UK medical students and UK-based professionals
- Prevent fraud, impersonation and misuse of the platform
- Maintain platform safety and the integrity of the medical research environment
- Investigate reports and enforce our Terms and Conditions
- Match students with appropriate research opportunities
- Enable healthcare professionals to identify motivated students for their projects
- Communicate essential platform notifications, including application outcomes
ProjectMed does not request or store more identity evidence than is reasonably necessary to verify eligibility.
3. How your data is stored
Personal information is stored on secure infrastructure with access restricted to authorised ProjectMed administrators. Data is encrypted in transit. We retain your personal information only for as long as your account remains active or as required to resolve disputes, prevent fraud, or comply with our legal obligations.
4. Sharing of information
ProjectMed will never sell your personal information to third parties. Limited information is shared only in the following circumstances:
- Profile information you choose to make visible is shown to other verified users
- When you are accepted onto a project, verified contact details are exchanged with the supervising researcher so that the collaboration can continue outside the platform
- Where legally required to comply with a valid regulatory or law enforcement request

You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and associated personal information
- Withdraw consent to further processing at any time
